Current service: Clients and mediators can sign in with ChatGPT to submit and track requests or applications. MDRS reviews applications and controls referral assignment. Account identity is supplied by the hosting sign-in service; portal records are stored with Sites hosting. Email support uses Gmail. Subscription checkout is available only after MDRS configures its external payment provider. Payment verification and renewal access are administered by MDRS; submitting an application does not authorize a charge.
1. Information we collect
Depending on how you interact with MDRS, we may collect:
- Identifiers and contact information: name, email address, telephone number, city, county, and preferred contact method.
- Referral information: general dispute type, requested location or format, preferred dates, session length, representation status, parties needed for conflicts screening, and other information you choose to provide.
- Mediator and professional information: biography, photograph, business contact information, service areas, training, credentials, experience, rates, availability, languages, practice areas, insurance information, references, and application responses.
- Account and membership information: account identifiers, membership status, subscription history, support requests, referral interests, assignments, and resource activity.
- Payment-related information: transaction status, amount, date, processor reference, and limited billing details. A third-party payment processor is expected to process card information; MDRS does not intend to store complete card numbers or security codes.
- Technical information: IP address, device and browser information, timestamps, referring pages, and basic website or security logs collected by hosting, analytics, or infrastructure providers.
- Communications: emails, inquiries, feedback, complaints, cancellation requests, and other correspondence.
2. Sources of information
We collect information directly from you, from parties or representatives requesting a mediator, from mediators and professional references, from service providers operating the website or payments, and from lawful public or professional sources used to review member information.
3. How we use information
We use personal information to respond to inquiries; review and route referral requests; create anonymized opportunities; evaluate mediator applications; perform conflicts and suitability screening; introduce selected participants; operate accounts and memberships; process and document subscription transactions; provide resources and support; maintain security; prevent fraud and misuse; keep business records; enforce agreements; and comply with legal obligations.
4. Referral sharing and anonymization
Before selection, MDRS intends to provide eligible mediators only the limited, anonymized information reasonably needed to evaluate interest and availability. After a mediator is selected, MDRS may share relevant identity, contact, scheduling, representation, and matter information with that mediator and may share the selected mediator’s professional information with the requesting party. MDRS will first confirm permission for the proposed mediator to receive the minimum details needed for conflicts screening and introduction. The request does not authorize sharing with every subscriber. If a proposed mediator declines, permission will be confirmed before another introduction. These limited disclosures serve the requested referral, rather than selling contact lists. Removing names alone does not guarantee anonymity; summaries must also exclude combinations of details that could reasonably identify a party. Recipients may not attempt reidentification. MDRS will maintain genuinely deidentified data without attempting to reidentify it.
5. Sensitive information and mediation materials
Do not submit Social Security numbers, driver’s-license numbers, complete financial-account details, payment-card data, medical records, children’s detailed information, evidence, or extensive allegations through the public website or ordinary email. Sending sensitive information does not itself provide legally required consent. MDRS will request separate, informed consent before processing sensitive personal data when required, and limit unsolicited sensitive information to appropriate handling, deletion, or legally required retention. The referral service is not intended to receive clinical records or act as a medical-record repository.
Information submitted before an actual mediation begins is not necessarily protected as a mediation communication. Once a mediation is established, separate agreements and Texas Civil Practice and Remedies Code Chapter 154 may govern confidentiality.
6. Categories of third parties
We may disclose relevant information to: a selected independent mediator; the requesting person or authorized representative; website hosting, email, security, analytics, document, communications, and payment providers; professional advisers such as attorneys or accountants; government authorities or courts when legally required; and a successor in a merger, financing, reorganization, or transfer of business assets subject to appropriate protections.
Service providers are authorized to process information for contracted purposes. MDRS does not sell personal data or biometric data and does not process personal data for targeted advertising as those terms are defined under the Texas Data Privacy and Security Act.
Approved directory profiles may publicly display the mediator’s name, practice areas, biography, service region, and approved qualifications. Direct contact details will not be published by default. Application documents, insurance records, references, and private client information are not directory content. Mediators may request corrections or removal by email. Independent mediators determine their own case-record processing and must provide their own privacy disclosures. MDRS remains responsible for its own processing and applicable vendor oversight.
7. Cookies and similar technologies
The website and its hosting or infrastructure providers may use necessary cookies, logs, or similar technologies for delivery, security, traffic management, and basic performance. Third-party content such as web fonts may receive technical information such as an IP address when loaded. If MDRS later introduces nonessential analytics or advertising technologies, this Policy and any required consent choices will be updated before use.
8. Data retention
We retain information only as long as reasonably necessary for the purposes described, including providing referrals and memberships, maintaining transaction and tax records, resolving complaints, enforcing agreements, protecting security, and meeting legal obligations. Retention periods vary by record type. Information no longer required will be deleted, deidentified, or disposed of using methods reasonably designed to make protected personal information unreadable or indecipherable.
9. Security and breach response
MDRS uses reasonable administrative, technical, and physical safeguards appropriate to the nature of the information. No website, email, transmission, or storage system can be guaranteed completely secure. If a qualifying breach occurs, MDRS will provide notices required by applicable law, including applicable Texas Business & Commerce Code Chapter 521 requirements.
10. Texas privacy rights
To the extent the Texas Data Privacy and Security Act applies, a Texas consumer may request to: confirm whether MDRS processes the consumer’s personal data; access and obtain a portable copy; correct inaccuracies; delete personal data provided by or obtained about the consumer; and opt out of targeted advertising, sale of personal data, or certain profiling. MDRS does not currently sell personal data or use it for targeted advertising or qualifying profiling.
Submit a request or appeal by emailing mdrsbooking@gmail.com with the subject “Texas Privacy Request.” Describe the right you wish to exercise and provide enough information for MDRS to reasonably verify your identity. MDRS will not require creation of a new account solely to submit a request and will respond within the period required by applicable law, generally within 45 days when the Act applies. If a request is denied, you may appeal by replying with “Privacy Appeal.” If an appeal is denied, you may contact the Texas Attorney General.
MDRS will not discriminate against you for exercising an applicable privacy right. Rights may be limited by identity verification, legal exceptions, record-retention obligations, privilege, security needs, or other lawful grounds.
When the Act applies, a reasonably necessary response extension may add up to 45 days, with notice and reasons within the initial period. Appeals will receive a written decision within 60 days. Requests are free up to twice annually, subject to lawful exceptions for unfounded, excessive, or repetitive requests. Authorized agents and valid universal opt-out signals will be honored where applicable; MDRS currently conducts no sale, targeted advertising, or qualifying profiling to opt out of. The Act generally exempts qualifying small businesses, subject to its sensitive-data-sale restriction, and its consumer definition excludes commercial or employment contexts. Other applicable rights are not waived by this notice. Contact MDRS for requests even where a statutory exemption may apply.
11. Children
The service is intended for adults 18 and older. The website and membership network are not directed to children under 13, and MDRS does not knowingly collect personal data directly from children under 13 through the website. Adults requesting family mediation should avoid submitting unnecessary identifying details about children in an initial inquiry. Contact us to request deletion if you believe a child submitted information directly.
12. External links and services
The website may link to independent mediators, forms, payment services, or third-party websites. Their privacy practices are governed by their own notices. MDRS is not responsible for an independent third party’s privacy or security practices.
Requesting a referral does not enroll you in unrelated marketing. MDRS will obtain separate consent where required for marketing texts, automated calls, or other regulated communications. You may opt out of promotional email without losing essential service notices. MDRS does not authorize recording, transcription, or AI analysis of mediation sessions through this site; any such use by a mediator requires separate assessment, disclosures, and legally required consent.
13. Changes to this Policy
We may update this Policy as the referral network and member portal develop. The effective date will be revised, and material changes will be communicated through the website and, for affected ongoing relationships, available email or account notices. Where law requires consent to a new use, MDRS will obtain it before that use; posting a new policy alone is not consent.
14. Contact and complaints
For privacy questions, requests, appeals, or complaints, contact MDRS at mdrsbooking@gmail.com. You may also submit an applicable privacy complaint to the Texas Attorney General.
